1. Agreement to Terms & Definitions
These Terms and Conditions govern the relocation, packaging, loading, transportation, storage, and unloading services provided by Air Home Cargo Packers & Movers (hereinafter referred to as the "Company", "we", or "us"), headquartered at Shop No. 7, Plot No. 33, T.T. Nagar, Dewas Naka, Indore, Madhya Pradesh - 452010, to the customer (hereinafter "Customer", "Consignor", or "Client").
2. Quotations, Survey Accuracy & Scope of Work
Moving quotations are formulated based on the specific survey details, inventory volume, and physical site conditions provided by the customer:
- Physical/Video Survey: Quotations given following a verified on-site or video survey are valid for the agreed list of items and the specified scope of work.
- Inventory Variations: If additional goods, extra rooms, heavy items, or unlisted appliances are added on moving day, additional transportation and packing charges will be computed based on standard volume rates.
- Site Accessibility Factors: Extra charges may apply if elevators are non-functional, narrow staircases prevent standard passage requiring specialized rope hoisting, or if local residential society restrictions require a long carrying distance exceeding 50 feet from the truck parking bay.
- Tolls & Government Levies: Standard highway tolls, state border transit taxes, and green cess are itemized transparently in the quotation or billed as actuals according to national highway regulations.
3. Booking Confirmation & Payment Terms
To maintain dedicated vehicle and crew scheduling:
- Advance Deposit: A nominal booking advance (typically 10% to 20%) is required to reserve the moving vehicle, crew schedule, and packing resources.
- Dispatch Balance: For intercity domestic moves, 80% of the total balance is payable upon completion of loading at origin before truck departure from Indore.
- Delivery Balance: The remaining 10% to 20% balance is payable upon arrival at the destination prior to unloading.
- Accepted Modes: Bank transfer (NEFT/IMPS/RTGS), UPI, corporate cheques, and demand drafts. All formal tax invoices carry valid GST registration numbers.
4. Cancellation & Rescheduling Policy
We understand plans can change. Our rescheduling and cancellation terms are designed to be fair and transparent:
- Rescheduling: Moves can be rescheduled with at least 48 hours advance notice without penalty, subject to fleet slot availability on the requested new date.
- Cancellation: If a booking is cancelled at least 72 hours prior to the scheduled packing time, 80% of the advance deposit is refunded. Cancellations made within 24 hours of scheduled dispatch incur forfeiture of the advance to offset vehicle reservation and labor mobilization expenses.
5. Packing Standards & Fragile Declaration
Our trained crew uses multi-layer packaging techniques including heavy-duty 5-ply corrugated carton boxes, bubble wrap, corner edge protectors, and waterproof stretch film:
- High-Value & Fragile Items: The Customer must explicitly identify delicate glassware, electronics, LCD/LED televisions, marble tops, and art pieces so that specialized wooden crating or reinforced cushioning can be arranged.
- Customer Self-Packed Cartons: If the customer elects to pack certain personal cartons independently, the Company cannot accept liability for internal damage unless the outer carton itself shows direct signs of vehicular transit impact.
6. Prohibited, Hazardous & Contraband Items
The following items must be transported personally by the customer and will NOT be accepted:
- Currency notes, coins, bank bonds, and bearer cheques.
- Gold, diamond, and precious stone jewelry.
- Original legal deeds, passports, academic degrees, and share certificates.
- Explosives, firearms, fireworks, ammunition, and toxic chemicals.
- Flammable substances (petrol, diesel, gas cylinders, paint thinners).
- Perishable food items, live plants, or domestic animals.
7. Customer Duties on Moving Day
The Customer or an authorized representative must:
- Be present throughout the packing, loading, and delivery process.
- Ensure society/apartment gate passes and elevator permissions are secured prior to crew arrival.
- Inspect refrigerators and washing machines to ensure they are defrosted, emptied, and dried 12 hours prior to move.
- Sign the itemized inventory sheet and condition report at both origin and destination.
8. Vehicle Transportation Guidelines
For four-wheeler (car) and two-wheeler (bike) transportation:
- Fuel Level: Fuel tanks should be maintained at roughly 10% to 15% (just enough to drive on/off hydraulic ramps) to comply with highway fire safety regulations.
- Documentation: Clear photocopies of the Vehicle RC (Registration Certificate), Valid Insurance, and owner ID proof must be submitted prior to loading.
- Personal Belongings in Vehicles: Cars and bikes must be cleared of loose personal valuables, luggage, and electronics.
- Inspection Report: A joint inspection report detailing existing scratches, dents, and odometer reading is signed prior to loading.
9. Transit Insurance & Damage Claims
Where transit insurance is arranged on behalf of the Customer, it is facilitated through licensed third-party general insurance providers. The following conditions apply:
- Declaration of Value: Transit insurance is issued based on the consignment value declared by the Customer at the time of booking. The Company does not independently assess or verify the declared value. Coverage, exclusions, and claims procedures are governed by the terms of the insurance policy issued by the insurer.
- Optional Coverage: Transit insurance is optional. Customers who elect not to take transit insurance do so at their own risk, and the Company's liability in such cases is limited to circumstances directly caused by the Company's negligence, subject to the limitations described below.
- Inspection on Delivery: The Customer must inspect all goods upon delivery in the presence of the Company's delivery representative, and any visible damage must be noted on the delivery receipt at that time.
- Claim Notice: Written notification of any transit damage, including photographs and a description of the damaged items, must be submitted to the Company within 48 hours of delivery. Claims submitted after this period may not be considered.
- Liability Limitation: Except as otherwise expressly agreed in writing, the Company's maximum liability for loss or damage to goods in transit shall not exceed the lesser of the declared consignment value or the cost of repair or replacement of the affected item. The Company shall not be liable for consequential, indirect, or special losses including loss of business, income, or profits.
10. Delivery Timelines & Scheduling
Estimated delivery timelines provided by the Company are indicative, based on agreed routes, standard road conditions, and fleet availability at the time of booking. Actual transit times may vary due to:
- Traffic congestion, road construction, or diversions along the route.
- Weather conditions, seasonal road closures, or highway restrictions.
- Regulatory checkpoints, permit requirements, or vehicle inspections by highway authorities.
- Delays attributable to the Customer's failure to provide timely access, documentation, or advance payment.
- Carrier scheduling changes or force majeure events.
The Company will make reasonable efforts to notify the Customer of any material delays via phone or WhatsApp. Transit time estimates do not constitute a contractual delivery deadline unless separately agreed upon in writing.
11. Customer Responsibility & Accurate Information
The Customer is responsible for ensuring that all information provided in connection with the service is accurate, complete, and up to date, including:
- Pickup and delivery addresses, including floor number, elevator availability, and access restrictions.
- Complete and accurate inventory of goods to be moved, including any high-value, fragile, or special-handling items.
- Destination recipient contact details and availability for delivery.
- Any relevant consignment documentation required by local or state authorities.
The Company shall not be held responsible for delays, mis-delivery, or additional costs arising from inaccurate or incomplete information provided by the Customer.
12. Force Majeure
The Company shall not be liable for any failure or delay in performing its obligations where such failure or delay results from causes beyond its reasonable control, including but not limited to:
- Acts of God, natural disasters, floods, earthquakes, cyclones, or severe weather events.
- National or regional highway blockades, civil disturbances, or government-imposed restrictions.
- Regulatory vehicle detentions, mandatory inspections, or route diversions ordered by competent authorities.
- Pandemics, epidemics, or public health emergencies declared by government bodies.
In such circumstances, the Company will make reasonable efforts to resume service and will communicate updates to the Customer through available channels.
13. Governing Law & Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with the laws of India. In the event of any legal dispute, controversy, or claim arising out of or relating to moving services provided, the parties agree to submit to the exclusive jurisdiction of the competent Courts in Indore, Madhya Pradesh.
